Karlion provides a digital environment for candidate profiles, job listings, applications and communication. Karlion is not the employer, does not decide who is selected and does not guarantee that employment will be concluded.
Provider and applicability
The portal provider is Karlion, poslovno svetovanje, Gregor Vencelberger, s.p., Rakuševa ulica 8, 1000 Ljubljana, company registration number 7452632000, tax number 46836357, info@karlion.si, +386 (0)31 515 717.
These specific terms apply to delo.karlion.si. Where a matter is not specifically regulated, Karlion’s general terms and mandatory legislation apply as appropriate. A separate written agreement with a company takes precedence if it expressly provides otherwise.
Account, age and separate roles
The portal distinguishes between candidate and employer accounts. The same verified email address may use both roles, but data, permissions and user journeys remain separate.
Users must be at least 15 years old. Anyone under 18 may use the portal within the limits of their legal capacity and applicable law. Only a person authorised to act for a company may register it.
Karlion manages sign-in, email verification, session protection and access recovery. Users must choose a secure password, protect it and immediately report suspected unauthorised use. Karlion stores passwords solely as secure bcrypt hashes and cannot read them.
Users may temporarily freeze a profile. Frozen candidates do not appear in search, and frozen companies and their listings are not publicly displayed. This does not erase the data; the next successful sign-in reactivates the profile. After complete erasure, previous access is no longer valid and a new registration is required to use the portal again.
Rules for candidates
- Data must be truthful, current and relevant to the professional profile.
- Users choose which optional data and results are visible and what they submit in each application.
- New profiles are visible to verified companies in candidate search. You can turn visibility off at any time in your profile settings. Existing saved choices remain unchanged.
- Profiles and messages must not include other people’s data, confidential information from a previous employer, unlawful content or unnecessary sensitive data.
- CV import and automatic suggestions are aids. Candidates must check the accuracy of every field before use.
Rules for companies and employers
- Companies must provide accurate registration details and demonstrate the user’s authority on request.
- Listings must describe genuine vacancies, actual duties, conditions and expectations, without deception or concealed marketing.
- Criteria, questions and conduct during the process must be job-related and non-discriminatory. Candidates must not be asked for data that is unnecessary to assess the work or that the law prohibits requesting.
- Candidate data must not be exported in bulk, resold, used for unrelated marketing, used to build external databases or disclosed to unauthorised persons.
- Contacting several candidates is permitted for genuine, specific opportunities. Automated or pointless bulk messaging, repeated unrelated invitations and circumventing portal safeguards are prohibited.
- Companies must inform candidates in a timely manner, protect received data and respect the rights and retention periods applicable to their recruitment process.
Publication, verification and moderation
Companies may prepare drafts, but only listings from approved companies that successfully pass moderation are published publicly. Karlion may request amendments, suspend, reject or remove a listing or profile if it is unclear, misleading, discriminatory, unlawful, dangerous or contrary to these terms.
An authorised Karlion representative decides on restrictions to listings, content or accounts; restrictions do not arise solely from automatic detection. The affected user normally receives a comprehensible reason and may raise an objection at info@karlion.si, unless disclosure would jeopardise security, an investigation or another person’s rights.
A report of allegedly unlawful or disputed content should provide a sufficiently precise location of the content, reasons for the report, the reporter’s name and email address, and a statement that the report is made in good faith and its assertions are accurate. Karlion acknowledges receipt, conducts a human review without undue delay and communicates its decision if it has a valid contact for the reporter.
The “verified” label means Karlion has performed certain company identification steps. It is not a credit assessment, recommendation or guarantee of payment, job quality or the accuracy of all statements.
A public listing can be shared without an account. The person sharing it is responsible for their accompanying text and choice of channel.
Applications, statuses and communication
When an application is submitted, the portal creates a snapshot of the selected data. Subsequent profile changes do not alter an already submitted application. When an employer first opens an application, its status may automatically change to “under review”. Other statuses reflect the employer’s actions in the portal and do not guarantee subsequent progress.
The candidate’s system contact details are visible to the selected employer by default upon application. Candidates may lock them before submission; they are then disclosed only following an employer invitation. Locking cannot remove contact details written by the candidate in an uploaded PDF, so the portal does not let the employer download that document before an invitation.
Messages and invitations must be respectful and related to the recruitment process. Users must not send malicious code, threats, harassment, unsolicited advertising or content infringing others’ rights. Suspicious messages must be reported to Karlion.
Automatic suggestions and career tools
Document data classification, the CV generator, recommendations, indices and personality descriptions are informational aids. They may contain errors, so a person must always review the result.
The tools are not a medical or psychological diagnosis, licensed psychometric testing, legal opinion or automated employment decision. No result alone proves a candidate’s suitability or unsuitability. Employers may take it into account only lawfully, proportionately and together with relevant job information.
Content and usage rights
Users retain rights to their content. They grant Karlion a limited, non-exclusive right to technically store, display, convert and transmit it to the extent chosen by the user and necessary for the portal to function.
Users warrant that they may use the uploaded photographs, logos, documents, links and texts. Copying the portal, systematically scraping data, interfering with its operation, testing other people’s access or using content to train external systems without written permission and an appropriate legal basis are prohibited.
Prices, orders and payments for companies
Paid services are intended for companies and other persons ordering them for their professional or commercial activities. The person submitting a request confirms their authority to act for the named company. If a consumer exceptionally orders a service, additional notices and mandatory rights under ZVPot-1 apply before the order; the standard business flow must not be used to deprive them of those rights.
Prices, scope, duration, tax treatment and any media budget are displayed before a request is submitted. Prices exclude VAT unless expressly stated otherwise. The price-list version displayed and immutably stored at the time of the request applies. A request does not activate a service: Karlion reviews it and issues a pro forma invoice. Once payment is actually visible, an administrator manually activates the service; at activation the system issues and sends an invoice marked as paid against the linked pro forma invoice. The customer’s transfer receipt alone is not proof that payment was received.
Basic access for verified companies and listings during the introductory period is free through 27 February 2027 inclusive. It does not automatically become a paid package. Pricing applies from 1 October 2026; the basic package becomes paid on 28 February 2027. Listings published during the free period remain active until their original expiry, up to 30 days. Campaigns and expressly ordered upgrades and additional services may be charged during the introductory period if the price is clearly displayed before the request.
Subscriptions do not renew and cards are not charged automatically. A pro forma invoice normally remains valid for eight days. If payment is not visible by the deadline, Karlion may close the request and pro forma invoice; a later transfer is reconciled with the customer before activation or refunded.
Karlion strives for reliable operation but does not guarantee uninterrupted availability, a number of views or applications, employer responses, candidate selection or conclusion of a contract.
Package duration, listings and campaigns
An annual package lasts one year from manual activation until the day before the same calendar anniversary. Each package allows up to 50 listings during its validity period. Credits reset on renewal; an already published listing does not count against the new period and remains active until its original expiry. After the package expires, the company retains its profile and may edit existing listing content, but cannot extend its validity without a new entitlement.
Republication is a new listing and is charged or deducted from the available quota. Active listing content may be edited free of charge during its validity period, but editing does not extend expiry. Paid promotion lasts until the linked listing expires. Listings at the same promotion level may be ranked by freshness and mixed for fair distribution of impressions.
When upgrading an annual package, the value of the unused portion of the previous package is credited or discounted, after which the full new package and its credits are activated. The exact calculation must appear on the quotation or pro forma invoice. After 50 listings are used, a new package or an individual quotation is available.
A campaign begins after payment confirmation and agreement on the necessary materials. The order specifies duration, one included creative, targeting scope, number of revisions, reporting and the split between media budget and Karlion’s service. Unused media budget must not be redirected to another purpose without consent.
Cancellation, non-conformity and refunds
A company may withdraw a request without charge before payment and activation. After payment but before activation or the start of agreed work, payment is normally refunded in full, except for already ordered, demonstrable third-party costs approved by the customer in advance.
After activation of a correctly performed business service, a refund merely because the customer changes their mind is normally unavailable. If Karlion does not provide the agreed scope, it first has the opportunity to remedy the fault within a reasonable time, extend the service or provide an equivalent substitute. If this is impossible or disproportionate, a partial or full credit note is issued and an appropriate refund made.
If a campaign ends early, work actually performed, pre-approved costs and media budget already spent are charged. Unused media budget and unperformed service are refunded or, by express agreement, credited. A request stating the reason and order number is sent to info@karlion.si; Karlion handles it in writing and documents it with a credit note where required.
Restrictions, termination and liability
Karlion may temporarily restrict a function or account where necessary for security, verification, abuse prevention, candidate protection or compliance with a legal obligation. Serious or repeated violations may result in account termination. Where circumstances permit, the user receives a reason and an opportunity to explain.
Each party is responsible for its conduct, content and legal obligations. Karlion is liable within the limits of mandatory legislation and does not exclude liability that cannot legally be excluded. Indirect business loss, lost profits or a third party’s decision are not Karlion’s responsibility unless the law provides otherwise.
Users may stop using the portal and request account erasure. Some data may remain subject to restricted retention because of an ongoing process, legal obligation or legal claim, as explained in the privacy policy.
Applicable law, changes and contact
The law of the Republic of Slovenia applies to these terms. The parties will first seek an amicable settlement. If this is not possible, the court with subject-matter jurisdiction in Slovenia is competent; consumers’ statutory rights concerning territorial jurisdiction remain unchanged.
Important changes to the terms will be marked with a new version and presented before taking effect. A new confirmation will be required if a change materially affects users’ rights or obligations.
